PASSPORT HOURS
1. When is Passport available?
Passport is available when school is in session for a full day or half day. Passport will not be available on teacher workdays, staff development days, or holidays. For parent conferences, childcare will be available free of charge during your scheduled conference time.
2. Will there be a morning Passport charge for dropping off my preschool student during elementary school carpool?
No charge will be added for families with preschool students whose siblings are dropped off during morning elementary carpool. All preschool families without an elementary school sibling needing an early morning drop-off must pay the morning Passport fee. Morning drop-off begins at 7:00am.
3. What hours will Passport be available?
Passport care begins at 7:00am and the last pick-up is at 6:00pm. Please reference the “Drop-In’s and Late Pick-Ups” section for details on any pick-up’s after 6:00 pm.
4. What happens to Passport during inclement weather?
Passport will not be available on days when the school is closed for inclement weather.
5. What happens in the event of an unanticipated school closing?
If school is canceled, there will be no Passport. In the very rare event of early dismissal, we will notify parents as early as possible to make other arrangements. Please make sure to keep the school posted of all e-mail, addresses, emergency contact, and phone number changes. Under no circumstance will a child be left unattended.
SCHEDULES
6. May I choose any day of the week for Passport? For example, if I choose a 2-day option, may I choose Tues and Wed? If I choose a 3-day option, may I choose Monday, Wednesday and Thursday?
Yes, you may choose any combination of days for Passport care. However, once registered, you are committed to the days for which you registered.
7. What if I need to use Passport for less than the hours stated? May I select my own hours?
You are required to contract your hours using the enrollment schedule at the end of this document.
8. May I make changes to my schedule?
In order to guarantee appropriate student/caregiver ratios, you must get written permission from the
Passport Director 72 hours prior to making a schedule change to a student’s Passport schedule.
9. How do I make changes to my schedule?

10. How many changes may I make? May I change the specific days without changing the number of days?
One change per semester is allowed without charge. You may change the specific days. Regardless of the change, any additional changes will be billed a $50 change per charge.
11. Do I get a refund for any changes made to the schedule or cancelation of my Passport plan?
Refunds are issued only if the unused days exceeds 30 full days (which is the basis for any proration) and will be prorated.
12. If I pick-up earlier than my contract indicates, may I receive a credit or a refund?
No refund or credit will be given for early pick-up.
13. How am I charged for additions to a schedule?
St. Benedict’s will accept payment by credit card, debit card or check or billed to your FACTS account for any additions to
ENROLLMENT & PAYMENT
14. May I sign up for Passport mid-semester? If so, how will I be billed?
If you need to sign up for Passport before September 15th, all rates are the same. After September 15th, registration is available at a prorated rate based on availability. Please see our Business Manager to determine that price. Billing will be done through RegPoint Solutions.
15. How do I pay for Passport?
After you select the program that meets your family's before and after school needs, you will be asked how and when you would like to be billed by RegPoint Solutions. Billing may be arranged to be paid in full or monthly per semester.
16. How does Passport collect declined or past due balances?
Past due balances will be charged to the card on file. Should the charge be declined, Passport will send you and email alerting you of the decline and will give you a deadline to update your card on file before the charges are run a second time. If the charge is declined a second time, Passport will reach out again giving another chance to update the card before running it a third time. If the card is declined a third time, the charge will be referred to finance for payment and collection.
17. Who is allowed to pick up my child?
Anyone who is listed on your child’s pick-up forms for the school will also be allowed to pick up your child from Passport. If an emergency arises, and a person who is not listed on your child’s pick-up form needs to pick up your child, please notify the Passport Director so that proper arrangements can be made.
18. Can I change my pick-up person?
Written parental permission MUST be given before the child goes home with someone not already approved on the pickup approval form. Email pick-up changes topassport@stbs.org. Changes should also be made in ParentsWeb.
BEHAVIOR WHILE IN PASSPORT
19. What are the behavior policies of the Passport program?
We expect the students to follow the same rules in Passport as they do in their classrooms during the day. Passport is a privilege for the children, not an entitlement. We stress that the student's' behavior is their choice and no one else's, and we strive to create an environment promoting responsibility for one's own actions. Therefore, students who choose to misbehave in Passport will be given one warning. The second incident will result in a timeout to regroup and get themselves together so they may rejoin the other students. In the event there is a third incident, the student will be asked to complete a Stop & Think form explaining what the inappropriate behavior is in his or her own words; the student then signs the form and takes it home for their parents to sign and return to school. If the incidents are severe, the student may be removed from Passport; there will be no refund of fees.
DROP-INS (EMERGENCY CARE) AND LATE PICK-UPS

Yes, drop-ins are permitted for our Passport Program. The drop-in rate is $12.00 per hour per student.
21. What will I be charged if I am running late for pick up?
There will be a charge of $6.00 for the first 30 minutes after pick-up time. After 30 minutes, the charge will increase to the Emergency Drop-In rate of $12 per hour.

22. If I miss carpool pick-up I understand that my child will be taken to Passport. How will I be
charged for their stay in Passport?
You will be given a grace period after carpool ends to pick up your child before late charges are incurred. Per the below
chart, after the grace period you will be charged $6.00 for the first 30 minutes in Passport. After 30 minutes, the charge
will increase to the Emergency Drop-in price of $12.00 per

CLUBS
AFTERSCHOOL PASSPORT CLUBS
1. Can I enroll for clubs after registration ends?
Registration will close at least 10 days prior to the start of the club session, or sooner depending on holiday schedules. A $25 late fee will be charged for any registrations after the closing date.
2. Can I enroll for a club after clubs begin?
A club may be joined at any time after the club sessions have begun, as long as the club is not full, and the vendor can accommodate an additional student. The full price of the club does apply as there is no pro-ration after the club session has started. As well, the above $25 late registration fee applies.
3. Can I cancel my enrollment before registration ends?
Registration will close at least 10 days prior to the start of the club session, or sooner depending on holiday schedules, which is the first day of clubs and not the first day of the club you have signed up for. You may cancel before registration closes for a full refund.
4. Can I cancel my enrollment after registration ends and before clubs begin?
You may cancel however once registration closes there are no refunds.

6. What happens if Passport cancels a club before the club session begins?
Club enrollment is assessed at the time registration closes, which is at least 10 days before the club session begins or could be earlier depending on the holiday schedule. If a club has not met their minimum enrollment, it will be canceled, you will be contacted and asked to select another club. The move to a new club will be made at no charge. If there is not another club you wish to move your child to, your money will be refunded 100%. The decision to move to a new club or request a refund must be made within 24 hours of the notification from Passport in order to get our club rosters ready for the first day of clubs.
7. Can I move to a different club after clubs have started?
Moves can be made within the first week of the club session at no extra charge, IF the club can allow changes. Minimum enrollment must be met. IF moving to another club should drop under the minimum enrollment for the club you would like to leave, then the move will not be able to be honored. After the first full week of clubs, moves may no longer be made.

9. How will I be charged for clubs if I am already signed up for Passport?
All clubs will be billed separately. If a club occurs on a day a student is already registered for Passport, the fee of $6 per hour for Passport will be refunded to match your child’s club schedule.
10. Will I be charged for Passport during the time school is dismissed and the time a club begins?
There will be no charge for the time between the end of school and the beginning of the club.
11. How do I pick-up my child after clubs end?
At the end of clubs, students are returned to Passport for pick-up.
12. What if I am late to pick up my child after their club ends?
There will be a 5-minute grace period after the official club end time. After this 5-minute grace period, there will be a $6 charge for the first 30 minutes after arrival in Passport. After 30 minutes, will be billed at the Emergency Drop-In rate of $12 per hour.

STINGERS UNPLUGGED AND PNO
1. What will I be charged if I am running late for pick up?
For Stinger’s Unplugged, if you are late for the contracted end time you selected, which is before the closing time of the event, there will be a charge of $6.00 for the first 30 minutes after pick-up time. After 30 minutes, the charge will increase to the Emergency Drop-In rate of $12 per hour.
For the end time of Stinger’s Unplugged or PNO, if you are late, there will be a charge of $1.00 per each minute after the event’s end time.
